Audit metrics report

Use reports to analyse your compliance processes.

To see the Reports tab and access the task reports, you must have Read-only access or Read & Write access for the All reports permission. To change your permissions, contact the administrator of your account.

What is the Audit metrics report?

The Audit metrics report shows you what actions users and API keys are taking on your account.

There are metrics for the following:

  • Each Portal user.
  • All Communicate users.
  • All API keys.
  • The smart policy.
Communicate users are only displayed if you're using PassFort's Communicate service. Contact us to learn more.
If a Portal user's name has changed, their original name is displayed.

In the example above, a user named Davinder Patel performed 242 actions during the date range while another user named Ren Tanaka performed 12 actions in the same period.

By default, only portal users are displayed. You can change this by modifying the User type filter.

What are audit metrics actions?

Audit metrics actions are anything that happens to a profile and its applications.

The audit metrics actions are as follows:

A profile that was previously assigned to a user was then reassigned to "nobody".

A profile that was previously assigned to one user was then reassigned to a different user.

Application nearing expiry

An application was going to expire in 30 days or less.

Attach file

A file was uploaded to the profile's Conversations

Note that if the user added a comment with the file, the Comment action is recorded as well.

Cancelled form

A form was cancelled.

Changed collected data

Information was added, updated, or deleted in the profile's collected data (stored in Profile data > Information).

Note that changes to custom fields do not trigger this action.

This action superseded Replace collected data (replace-collected-data).

Comment

A comment was made in the profile's Conversations.

Note that if the user added a file with the comment, the Attach file action is recorded as well.

Completed customer request

A customer request was completed. 

This action is used for the Communicate service. Contact us to learn more.

Completed form

A form was completed as passed or failed.

Note that Manual decision forms will also trigger the Submitted form audit item.

Completed stage

A check completed.

Created profile

A new profile was added.

Deleted a task note

Escalation created

A product application was escalated to a team.

Escalation resolved

An escalation team provided approval or rejection.

Multiple PEPs, sanctions, adverse media, or refer events were marked as unresolved, mismatched, matched, ignored, or created (which occurs when a task expires and a new task version is created).

Expired form

Generated onfido tokens

Note that this action is only applicable if you're using Onfido as a data provider.

Granted profile access

Instantiated form

Linked profile

A document was uploaded for an ID verification check or a Document verification check.

Viewed profile

A user viewed the profile or the API was used to Get a profile

Note that if a user views the profile more than once in a day, only the first view is recorded.

Other API actions (like getting collected data or check results) do not trigger this action.

This action superseded View.

Audit metric actions are also recorded in the audit report.

Data you can filter

You can choose from any of the filter criteria below:

  • Action: The type of audit metric action that took place.
  • User name: The name of the user or API key. To see all actions performed by your smart policies, select Smart Policy. To see all actions performed by Communicate users, select Communicate API key.
  • User type: The type of user. 
  • Profile type: The type of profile. The options for this filter are: Individual customer (individuals applying for your product), Company customer (companies applying for your product), Individual associated (company associates who are individuals), Company associated (company associates who are companies).
  • Country of incorporation: The profile's country of incorporation. To see profiles with no country of incorporation (i.e. all individual profiles, plus any company profiles that have no data for this field), select No data.
  • Country of current address: The profile's country of address. To see profiles with no country of address (i.e. all company profiles, plus any individual profiles that have no data for this field), select No data.
  • Country of nationality: The profile's country of nationality. To see profiles with no country of nationality (i.e. all company profiles, plus any individual profiles that have no data for this field), select No data.

Data you can export

You can export the following data.

Standard profile data:

  • Action date: The date and time that the audit metric action took place. 
  • Action week: The week (starting on a Monday) when the audit metric action took place.
  • Audit item ID: The unique identifier of the action.
  • Action: The type of action. This data corresponds to the Action filter. To learn more, see What are Audit metrics actions?
  • Action data: Any additional data used by the audit metric action (e.g. the check type or document ID).
  • User ID: The unique identifier of the user that performed the action. If the action was performed by the API, the smart policy, or a Communicate user, this is blank.
  • User name: The name of the user or API key that performed the action. If the smart policy performed the action, the user name is Smart Policy. If a Communicate user performed the action, the user name is Customer request key. This data corresponds to the User name filter.
  • User type: The type of user that performed the action. This data corresponds to the User type filter.
  • Profile ID: The unique identifier of the profile.
  • Display name: The name of the profile.
  • Date of birth: If the profile is an individual, this is the date they were born. If the profile does not have a date or birth or the profile is a company, this field is blank.
  • Ultimate parent profile ID: If the profile is an associate, this is the ID number of the profile that made the original product application. If the profile is not an associate, this is blank.
  • Ultimate parent display name: If the profile is an associate, this is the name of the product application that their application is contributing to. If the profile is not an associate, this is blank.
  • Tags: The profile's tag(s). If the profile has multiple tags, each one is separated with a semicolon. If the profile does not have any tags, this is blank.
  • Date of incorporation: If the profile is a company, this is the date it was incorporated. If the profile does not have a date of incorporation or if the profile is an individual, this field is blank.
  • Customer reference: An optional profile field that can be used to add a unique identifier for the profile (e.g. the unique identifier from your CRM).
  • Company number: The company's registration number.
  • Profile type: Indicates whether the profile is an individual or a company and whether the profile is an associate or not. This data corresponds to the Profile type filter.
  • Country of incorporation: If the profile is a company, this is the country in which the company is incorporated. If the profile does not have a country of incorporation or the profile is an individual, this is blank. Note that the country is provided as an ISO3 code. This data corresponds to the Country of incorporation filter.
  • Country of current address: If the profile is an individual, this is the country of residence. If the profile does not have a country of residence or the profile is a company, this is blank. Note that the country is provided as an ISO3 code. This data corresponds to the Country of current address filter.
  • Country of nationality: The profile's country of nationality. This data corresponds to the Country of nationality filter.
  • Auditee ID: The unique identifier of the entity that performed the audit action.
